Remote Invigilation of Exams using Respondus LockDown Browser and Zoom

Conducting tests or exams online introduces options for access, some of which require different methods of implementation than in a face-to-face course. We encourage you to design tests and exams utilizing the features available in Avenue to Learn and according to principles of universal design. This can include holding them asynchronously, extending time required for completion, offering practice tests, or eliminating them altogether via alternative forms of assessments. This can make completing the assessment easier for students with disabilities, students with care-giving obligations, students in different time zones, and students who may not have consistent access to a computer or internet service.  

While we recommend alternative forms of assessment, we recognize there may be a need for online, invigilated exams. For this, our current recommended approach is to use Zoom and Respondus LockDown Browser. This provides some control over the remote environment (through the use of LockDown Browser) and additional choice over proctoring control.   

NOTE: Using an iPad is not supported. A suitable laptop or desktop computer must be used for this process. 

Setting Up Zoom 

  1. Login your account via https://mcmaster.zoom.us (click Sign In) 
  2. Before scheduling a meeting, select Settings and then AI Companion – make sure Quick reply with AI Companion, Sentence completion with AI Companion and Quick Schedule with AI Companion are OFF.
  3. Under Settings > Audio Conferencing, make sure Mask phone number in the participant list is ON
  4. Next, in Settings still, select the Meeting tab, then In Meeting (Basic) 
  5. Select Host and co-hosts from allow participants to chat with options.
  6. Select Host and co-hosts from the Allow users to save Chats from the meeting. Click Save. 
  7. Set Allow participants to delete messages in meeting chat to OFF. 
  8. Set Allow participants to edit messages in meeting chat to OFF. 
  9. Set Enable the Screenshot feature in meeting chat to OFF. 
  10. Set Screen Sharing to OFF. 
  11. Set Allow users to change their name when joining a meeting to OFF. 
  12. Set Allow participants to rename themselves to OFF.
  13. Under In Meeting (Advanced); scroll down to Virtual Background and toggle it OFF. 
  14. Under Settings > Recording, Record to computer files should be set to OFF. Live remote invigilation should not be recorded for privacy reasons. In addition recordings cannot be not used as evidence in any academic integrity cases.

NOTE: If a recording is accidentally enabled, you should manually delete the cloud recording as soon as possible, as there are limits for overall storage. If the session is recorded to your personal computer for any reason, you must delete it as soon as possible. 

  1. Finally, schedule the meeting with additional time in front of and at the end of the exam. This time should be at least 30 minutes additional in advance, as well as at least 30 minutes beyond the scheduled end of the exam period. Enable the Waiting Room and ensure that your Invigilators and or TA’s are alternate hosts. When finished click Save. 
  2. Copy the invitation address to share in Avenue or through email. 

Setting Up LockDown Browser 

  1. In Avenue, navigate to Assessments > Quizzes. 
  2. Select your quiz/exam.  
  3. Ensure that the start time, and other features of the quiz align to the settings in your Zoom session.Under the LockDown Browser tab, in the LockDown Browser dashboard, select the downward facing arrow beside the quiz you want to use LockDown Browser with, and select Settings 
  4. Select Require Respondus LockDown Browser for this exam. 
  5. Select Allow instructor live proctoring for this exam (via Zoom, Teams, etc). 
  6. Select Zoom.
  7. A start code is required. Enter a start code in the start code field.  You will need this later for running the exam. Note this value, and save a copy to your clipboard or on a piece of paper. You, or your invigilator will share this in Zoom during the start of the exam. Do not share this prior to the exam, unless you are allowing people to start the exam whenever they want.
  8. Click Save + Close 

Notes For Administering the Exam 

The easiest approach is to first join the Zoom session and begin the quiz after. There are potential issues with logging into the quiz first, as accessing Zoom will be difficult while LockDown Browser is active. If you have not provided a link with the passcode for the Zoom session you will have to provide the Zoom passcode as well as the LockDown Browser start code. Typically, Zoom passcodes are a sequence of numbers but you can choose your own LockDown Browser start codes. It is important to make both easy to remember and to type as exams are already stressful.
